Privacy Policy
This Privacy Policy explains what personal information UseHirable collects, why we collect it, how we use it, and what choices you may have when using our website and services.
It applies to information collected through our marketing site, signup flows, dashboard, browser extension, support experiences, interview preparation features, analytics tools, and related product surfaces.
Information We Collect
We collect information you provide directly to us, information generated through your use of the service, and certain information from integrated tools or service providers.
- Account details such as your name, email address, login credentials, and profile information.
- Career-related content such as resumes, skills, preferences, interview responses, uploaded files, and progress information.
- Browser extension data when you use the extension, such as detected job-page URLs, canonical URLs, page titles, company and job details visible on the page, visible application-field labels, field metadata, selector recipes, platform or applicant-tracking-system signals, selected autofill fields, generated document previews, autofill execution results, and application submission confirmation signals.
- Connected integration data such as provider account identifiers, mailbox metadata, sender and recipient details, subject lines, message content, and message timestamps when you authorize an inbox connection feature.
- Technical and usage data such as device information, browser type, IP address, pages visited, actions taken, and approximate location derived from network signals.
- Communications data when you contact support, respond to emails, submit feedback, or interact with customer success channels.
How We Use Information
We use personal information to provide the service, operate accounts, improve product quality, support users, analyze performance, protect the platform, and communicate with you.
- To create and manage your account and authenticate access.
- To personalize job search tools, recommendations, support, and interview preparation experiences.
- To operate browser-extension features you request, including detecting supported job application pages, resolving applicant-tracking-system field patterns, generating safe autofill plans, filling selected fields, uploading selected application documents, detecting application submission confirmations, updating application progress, and improving field matching reliability.
- To sync, classify, organize, and display job-search-related mailbox activity when you choose to connect an email provider.
- To process payments, subscriptions, and account administration where applicable.
- To detect abuse, enforce our policies, investigate incidents, and maintain platform security.
- To send service messages, product updates, support responses, and legally required notices.
Browser Extension
The UseHirable browser extension is optional. When enabled, it may run on websites you visit so it can recognize supported job and application pages and show relevant job-assistance controls.
- For job detection, the extension may inspect page URL, canonical URL, page title, visible text, metadata, job details, page structure, form controls, field labels, field attributes, selector recipes, and platform signals from the active page.
- The browser extension may use UseHirable authentication cookies or session state to confirm that you are signed in and to make authenticated requests to UseHirable services.
- For autofill planning, the extension may send detected job/application context, field labels, field metadata, field paths, selector recipes, current page state, and available profile value keys to UseHirable so our systems can return a safe action plan.
- For document assistance, the extension may use generated CVs, generated cover letters, and your uploaded CV to fill or upload selected fields. Generated documents are shown for your review before use.
- For application progress tracking, the extension may detect confirmation pages or success messages after you submit an application yourself and send minimal submission evidence, such as page URL, canonical URL, page title, detected job context, confirmation signal, confidence, and timestamp, so UseHirable can mark the application as submitted.
- For reliability and debugging, the extension may send autofill execution feedback such as action identifiers, field identifiers, status, failure reasons, selector recipe used, and canonical field type.
- UseHirable does not use the extension to submit applications automatically, click final submit buttons, infer submission from a submit-button click alone, collect payment card fields, read passwords, or intentionally collect unrelated page content outside the job-search features you use.
Connected Email Accounts
Connecting Gmail is optional. If you voluntarily connect Gmail, UseHirable requests the https://www.googleapis.com/auth/gmail.modify scope so we can provide job-search inbox features for your account.
After you authorize Gmail, UseHirable may access only the Google data needed to provide these features, including your Google account identifier and connected email address, Gmail message and thread identifiers, sender and recipient information, subject lines, message content or snippets, message timestamps, thread metadata, labels including read or unread status, and other metadata necessary to identify and organize job-search-related communications.
- We use connected mailbox data to identify job-search-related messages, detect recruiter replies, interview invitations, assessments, offers, rejections, and application-status updates, and classify, organize, and display relevant messages in your UseHirable inbox.
- We use Gmail labels and thread metadata to synchronize read or unread status and to let you mark a relevant Gmail message or thread as read from UseHirable by removing the Gmail UNREAD label.
- The gmail.modify scope is used for reading job-search-related mailbox data and synchronizing read or unread status. It is not used to send email, delete email, or alter message content.
- Refusing or revoking Gmail access disables Gmail-connected functionality, but it does not necessarily disable your entire UseHirable account.
Data Sharing
We do not sell personal information or Google user data as part of the normal operation of UseHirable, and we do not share Google user data for advertising.
- We may disclose Google user data to service providers acting on UseHirable's behalf only when necessary to host, secure, maintain, or provide the connected-inbox feature.
- We may share extension-derived job page context, field metadata, profile value keys, generated document content, and autofill telemetry with service providers only when needed to provide, secure, troubleshoot, or improve the user-facing extension features.
- We may disclose information when legally required or when reasonably necessary to protect users, UseHirable, or the integrity of the service.
- Service providers may process Google user data only for the contracted purpose and may not use it for their own advertising or generalized AI or machine-learning model training.
- Broader personal information may be shared with service providers, professional advisers, regulators, law enforcement, or transaction participants where necessary to run the service, comply with legal obligations, protect rights and safety, or complete a merger, acquisition, financing, restructuring, or sale of assets.
Google API Data
UseHirable's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We access and use Google Workspace API data only to provide, secure, maintain, and troubleshoot the connected inbox features you request, and to comply with applicable law. Gmail data is used to identify job-search-related messages, detect recruiter replies, interview invitations, assessments, offers, rejections, and application-status updates, classify and display relevant messages in your UseHirable inbox, synchronize read or unread status, and remove the UNREAD label when you mark a relevant Gmail message or thread as read from UseHirable.
Google Workspace API data may be processed only where necessary to provide user-facing inbox classification and job-tracking features. It is not transferred to third-party AI services that use the data to train their own generalized AI or machine-learning models. Any service provider processing is limited to operating or supporting UseHirable and is governed by contractual confidentiality, security, and data-use restrictions.
- UseHirable does not send emails through your Gmail account.
- UseHirable does not delete Gmail messages or threads.
- UseHirable does not permanently alter message content.
- UseHirable does not access Gmail without your authorization.
- UseHirable does not use Gmail data for advertising, sell Gmail data, or transfer Gmail data to data brokers.
- UseHirable does not use Gmail data to determine creditworthiness or for lending purposes.
- UseHirable does not use Gmail data to train generalized or non-personalized AI or machine-learning models.
Data Retention and Deletion
We keep personal information for as long as necessary to provide the service, comply with legal obligations, resolve disputes, maintain security records, and enforce our agreements.
Retention periods may vary based on the type of data, the sensitivity of the information, the product feature involved, and whether the information is needed for legal, tax, fraud-prevention, or operational reasons.
Gmail data is retained only for as long as necessary to provide the connected-inbox feature, maintain security, resolve disputes, or comply with law. You can disconnect Gmail through UseHirable account controls or through your Google Account's third-party access settings. Disconnecting Gmail stops future access and synchronization.
Browser-extension telemetry, application lookup records, detected submission confirmation records, autofill plan records, and execution feedback may be retained for as long as reasonably necessary to provide the extension feature, troubleshoot failures, improve field matching reliability, track application progress, detect abuse, maintain security, and comply with legal obligations.
You can request deletion of stored Gmail-derived data by contacting Admin@usehirable.com or using available account-deletion controls. After a valid deletion request or account deletion, Gmail-derived data is deleted within 30 days, unless retention is required for security, fraud prevention, dispute resolution, or legal compliance. Legally retained data will be isolated and deleted when the retention obligation expires.
Your Rights and Choices
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information.
- You can update certain profile details directly inside your account.
- You can choose whether to use the browser extension, dismiss extension prompts, select or unselect detected autofill fields before filling, and uninstall the extension through your browser. You can also choose not to use extension-assisted application tracking by disabling or uninstalling the extension.
- You can contact us if you want help accessing, correcting, or deleting information we hold about you.
- If you connect an email provider, you can request that we delete synced mailbox data associated with your account, subject to legal, security, and operational retention requirements.
- You may opt out of some non-essential communications by using the unsubscribe options included in those messages.
Security
We use administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, misuse, or alteration.
- We protect data in transit using HTTPS/TLS.
- We use encryption at rest where supported by the hosting and storage infrastructure.
- We restrict access using role-based controls and limit access to personnel and service providers who need it to operate or support the feature.
- We handle OAuth credentials and tokens securely and use safeguards designed to prevent unauthorized access.
- We monitor and maintain safeguards against unauthorized access, misuse, or alteration.
Children and Age Limitations
UseHirable is not intended for children below the age required to use our services under applicable law. If you believe a child has provided personal information without authorization, please contact us so we can investigate.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect product changes, legal requirements, or improvements to our privacy practices. When we do, we will update the effective or last updated date at the top of the document.
